You should probably contact the company that installed the fire, or a company offering a similar service if it wasn't you who installed it. Try looking in the yellow pages.
We pay an annual maintenance fee to Br Gas and they come out once a year to service our boiler and the fire. Between visits I just go over our fire (with fake coals) with a hoover nozzle, I don't touch the coals but just skim over the top to lift the dust. I was once told that the coals are laid out in a particular way and they shouldn't be disturbed, don't know if that applies with your logs but if you don't touch them with the hoover then theres no problem.
